For K-12: Some Options for Dealing with Pictures in Email

This is Barbara Chung again, invading Jonny’s blog, with something for those of you in K-12 environments.  Compliance is a big issue, and dealing with various filtering requirements is a major part of that.  There are a lot of good options for building rules in the Exchange Control Panel—but advanced options are to be found in PowerShell.  I’ve put together a sample script that demonstrates some of your options for dealing with the problem of pictures sent in email.

Here you go:

# PLEASE CHANGE ALL INSTANCES OF “<fill in desired target account>” WITH AN ACCOUNT IN YOUR OWN DOMAIN BEFORE USING THIS SCRIPT
# THIS IS A SAMPLE SCRIPT THAT DEMONSTRATES SOME FAIRLY COMMON SCENARIO USES AND IS DELIBERATELY SIMPLE.
# YOU CAN ADD BOOLEAN OPERATORS, MULTIPLE TARGET FORMATS, AND OTHER FUNCTIONS FOR FILTERING IF YOU SO DESIRE.
# SEE http://technet.microsoft.com/en-us/library/dd638183.aspx FOR DETAILED INFO ON TRANSPORT RULES

#  BCC MSGS WITH ATTACHMENTS TO AUDITOR MAILBOX
#  for alerts, you can forward mail from auditor mailbox to Outlook admin mailbox
New-TransportRule -Name "BCC JPG Attachments" -AttachmentNameMatchesPatterns ".jpg" –BlindCopyTo <fill in desired target account>

#  REDIRECT JPGS TO DESIGNATED AUDITORS
#  for alerts, you can forward mail from auditor mailbox to Outlook admin mailbox
New-TransportRule -Name "REDIRECT JPGS TO DESIGNATED AUDITOR" -AttachmentNameMatchesPatterns ".jpg"  -RedirectMessageTo <fill in desired target account>

#  SEND MSGS CONTAINING PICTURE ATTACHMENT TYPE TO MODERATORS FOR APPROVAL
New-TransportRule -Name "REDIR JPGS TO DESIGNATED MODERATORS" -AttachmentNameMatchesPatterns ".jpg"  -ModerateMessageByUser <fill in desired target account>

#  SEND MSGS CONTAINING PICTURE ATTACHMENT TYPE TO MANAGER (TEACHER, VPRINCIPAL) FOR APPROVAL
New-TransportRule -Name "REDIRECT JPGS TO TEACHER" -AttachmentNameMatchesPatterns ".jpg"  -ModerateMessageByManager <fill in desired target account>

#  REJECT MSGS CONTAINING PICTURE ATTACHMENT TYPE WITH REJECT TEXT
New-TransportRule -Name "BLOCK JPGS WITH NDR" -AttachmentNameMatchesPatterns ".jpg" -RejectMessageReasonText "Picture attachments are a violation of school policy!"

#  VIEW TRANSPORT RULES
    Get-TransportRule

      # Use Remove-TransportRule command to delete existing rules (you can also use the Exchange Control Panel for this)
        Remove-TransportRule "BCC JPG Attachments"
Remove-TransportRule "REDIRECT JPGS TO DESIGNATED AUDITOR"
Remove-TransportRule "REDIR JPGS TO DESIGNATED MODERATORS”
        Remove-TransportRule "REDIRECT JPGS TO TEACHER"
        Remove-TransportRule "BLOCK JPGS WITH NDR"
